Stamping & redeeming

How it works at the counter, the cooldown against misuse, and staff attribution.

At the counter

The staff member signs in to the staff app or the counter in the browser with a PIN and scans the QR code on the customer’s card. One tap adds a stamp or books points, another redeems an available reward.

In the staff app, stamping also works offline. The actions are synchronised as soon as there is a connection again. The counter in the browser needs a connection at all times.

Minimum gap and maximum (cooldown)

The cooldown is the minimum time in minutes between two stamps for the same customer. It prevents accidental double stamping and misuse (for example stamping several times during one visit).

Example: with a cooldown of 120 minutes, a customer can be stamped again two hours after their last stamp at the earliest.

You can also set a maximum: at most so many stamps per day, week or month. It follows the calendar in your local time. With “1 per day”, a guest gets a stamp at 11 pm and another at 1 am, because those are two days. The week starts on Monday.

Spotting the cooldown at the counter

When the cooldown applies, the app declines the stamp with a note and says when the next one is possible. That is not an error and not a defect. The card is fine, the customer was simply here recently.

For cards where an amount is booked, the app asks again: “Book the amount once more?” That way a genuine second purchase is not lost, while an accidental double tap does not go through.

The maximum applies without exception, including for your team and for “Book amount again”. A cancelled stamp does not count.

Staff attribution

Every stamp and every redemption is attributed to the signed-in staff member and logged. That creates traceability. It is about transparency, not performance monitoring.
